Contracts

Contracts are the core of Lumipact. Each contract stores key commercial information — counterparty, value, dates, renewal terms — and any uploaded documents. You can add contracts in three ways: upload a PDF and let the AI extract the fields, fill in fields manually, or import many contracts at once from a CSV file.
Adding a contract by PDF upload (recommended)
This is the fastest way to add a contract. Click Upload & Extract from the Contracts page. Lumipact reads your document, extracts the key information, and shows you a structured review screen — you check and correct before anything is saved.

Click Upload & Extract
Find this button at the top right of the Contracts page. On mobile, tap the blue card at the top of the list. - 2
Drop or select your file
Drag and drop, or click to browse. Lumipact accepts PDF, DOCX, JPG, and PNG files up to 50 MB. Scanned PDFs are handled via OCR automatically. - 3
Wait for extraction
The AI reads your document — this typically takes 10–30 seconds. You'll see animated progress messages while it works. - 4
Review the extracted summary
Lumipact shows the results in six sections:- Contract Overview — title, counterparty, type, and plain-English summary
- Important Dates — start, end, signed, and cancellation deadline
- Money Terms — contract value, payment terms, billing frequency
- Renewal & Termination — auto-renewal details and the extracted clause text
- Legal & Obligations — governing law, non-compete, liability cap, GDPR flags
- Items that may need attention — plain-English risk flags (see below)

Edit anything that looks wrong
Every field on the review screen is editable. Small coloured dots next to field labels show AI confidence: green = high, amber = medium, red = low. Pay extra attention to red and amber fields. - 6
Save as Draft or Activate
Draft keeps the contract private for further editing. Active adds it to your portfolio and starts renewal tracking.
Risk flags
After extraction, Lumipact automatically computes risk flags — plain-English alerts that highlight things that may need your attention before activating the contract. Flags are grouped by severity:
- High (red) — act soon. Examples: cancellation deadline within 14 days, personal guarantee required, very short notice period.
- Medium (amber) — worth reviewing. Examples: auto-renewal detected, no payment terms on a high-value contract, no termination for convenience.
- Low (grey) — informational. Examples: foreign governing law, contract value not found.
Click any risk flag card to expand it. Each flag includes a plain-English explanation and a suggested next action. If the flag references a specific clause, the quoted text appears below.
Confidence indicators
Small coloured dots appear next to field labels on the review screen:
- Green dot — the AI is confident this value is correct.
- Amber dot — the field was found but may be ambiguous. Double-check it.
- Red dot — the field was not found or the AI had very low confidence. You'll likely need to fill it in manually.
Fields not found in the document return empty rather than a guess. A banner at the top of the review screen lists any critical fields that were missing.
Adding a contract manually
Click Manual Entry from the Contracts page for a full form where you fill in all fields directly. This is useful when you have the information but not a PDF, or when the contract is verbal or informal. You can still upload a file and click Extract from filefrom within the manual form.
Bulk import from CSV
If you're migrating from a spreadsheet or another system, use the CSV import to bring in many contracts at once.

Go to Contracts → Import

Download the template
Use the provided CSV template as a starting point. It includes all supported fields with example values and notes. - 3
Fill in your data
Each row is one contract. Required fields: title, counterparty_name. Dates should be in YYYY-MM-DD format. - 4
Upload and review
Lumipact validates each row and shows errors inline. Fix any issues and re-upload, or proceed with the valid rows. - 5
Confirm import
Successfully imported contracts appear immediately in your portfolio.
Contract fields explained
Core identification
- Title — The name of the contract. Keep it consistent (e.g. "Microsoft 365 — Annual Subscription").
- Contract type — Categorises the contract: SaaS, Service, NDA, Employment, etc.
- Counterparty — The other party to the contract. Lumipact tracks counterparties separately so you can see all contracts with the same vendor.
- Reference number — Your internal reference or the vendor's contract number.
- Status — Active, Draft, Pending, Expired, or Terminated.
Dates
- Start date — When the contract takes effect.
- End date — When the contract expires or renews.
- Signed date — When the contract was executed.
- Notice period (days) — How many days before the end date you must notify the vendor if you want to cancel or renegotiate. Lumipact uses this to calculate your action deadline.
- Auto-renews — If checked, Lumipact shows the action deadline (end date minus notice period) as the critical date to act on.
- Renewal period (months) — How long each renewal term lasts when the contract auto-renews.
- Next renewal date — Calculated automatically from the end date and renewal period, or you can set it manually.
Value
- Total value — The full value of the contract over its lifetime.
- Annual value — Annualised cost, used for portfolio-level reporting.
- Monthly value — Monthly cost if billed monthly.
- Currency — Currency of the contract values.
- Seat count / Unit price — For per-seat or per-unit pricing.
Organisation
- Entity — Which entity (legal company or business unit) owns this contract.
- Department — Which internal department is responsible.
- Internal owner — The team member accountable for this contract.
- Tags — Free-form labels for filtering and search.
Amendments and related contracts
When you add a contract, you can set its Relation type:
- Primary — A standalone contract or the master agreement.
- Amendment — A modification to an existing contract. Link it to the primary contract using the Parent contract field. Amendments appear nested under the primary contract in the contracts list.
Editing and deleting contracts
Open any contract and click Edit (Managers and above). You can update any field except the uploaded document (add a new document instead). Changes are recorded in the audit log.
To delete a contract, use More → Delete from the contract detail page. Deletion is permanent. Owners and Admins can delete any contract; Managers can only delete contracts they created.
Searching and filtering
Use the search bar at the top of the Contracts page for full-text search across titles, counterparty names, and summaries. Use the filter panel to narrow by status, contract type, entity, department, or date range. Filters are combinable.
