Entities

An entity in Lumipact represents a legal entity or business unit — for example, a holding company and its subsidiaries, or different regional offices. Every contract belongs to exactly one entity, and every team member is granted access per entity.
Creating an entity
- Go to Settings → Entities.
- Click New entity.
- Enter the entity name (e.g. "Acme Corp EU") and select a currency.
- Optionally set a parent entity if this is a subsidiary of another entity in your workspace.
- Click Save.
Assigning contracts to entities
Every contract has an Entity field. You set this when adding the contract and can change it later from the contract detail page. Contracts without an entity are only visible to workspace Owners and Admins.
Granting team members access to entities
Team members do not automatically have access to all entities. After inviting a member in Settings → Team, you grant them access to specific entities from the Settings → Entities page:
- Open an entity.
- Under Members, click Add member.
- Select the team member and choose their role for that entity (Owner, Admin, Member).
A team member's entity role controls what they can do within that entity's contracts. Their workspace role (from Settings → Team) controls access to workspace-level settings.
Entity-level reporting
The Reports page filters by entity, so you can see total contract value, annual commitments, and renewal exposure per entity. Use the entity selector at the top of the reports page to switch between entities.
Archiving an entity
Entities cannot be deleted if they have active contracts. To retire an entity, mark all its contracts as Terminated or reassign them, then archive the entity from its settings page. Archived entities are hidden from the entity selector but their contracts remain in the system for audit purposes.
