Workspace Setup

This guide walks you through the first steps after signing up: configuring your workspace, adding your first contract, and getting your team onboard.

1. Complete your profile

Go to Settings → Profile and set your display name, preferred language, and renewal alert preferences. Alert preferences control how many days before a renewal you receive email notifications — you can pick multiple windows (e.g. 90, 30, and 7 days).

2. Configure your workspace

Go to Settings → Workspace to set your company name, default currency, and default contract department. These defaults are used when adding contracts, so setting them early saves time.

3. Create your entities

Entities represent legal entities or business units in your organisation (e.g. "Acme Corp", "Acme Europe"). Contracts are assigned to an entity, and team members are granted access per entity. If your business operates as a single entity, create one entity and move on.

Go to Settings → Entities and click New entity. See the Entities guide for more detail.

4. Invite your team

Go to Settings → Team, click Invite member, and enter their email. Choose a role — most teammates should be Manager or Viewer. See Team & Roles for the full permission breakdown.

5. Add your first contract

    Go to Contracts and click + New contract

    You can add a contract by uploading a PDF, filling in fields manually, or importing from a CSV file.

    Upload a PDF (recommended)

    Lumipact's AI reads the document and pre-fills key fields: counterparty name, value, dates, renewal terms, and more. Review the extracted fields before saving.

    Assign to an entity

    Select which entity this contract belongs to. This controls which team members can see it.

    Set the renewal alert

    Check that the end date and notice period are correct — Lumipact uses these to calculate when to send you alerts.

    Save

    The contract appears in your portfolio. You'll receive renewal alerts based on the schedule in your profile settings.
Tip: If you have many existing contracts, use the CSV import to bring them all in at once rather than adding them one by one.

6. Set up renewal alerts

Go to Settings → Notifications to choose how you receive alerts (email). Your alert timing is controlled per-user in Settings → Profile — each team member can set their own alert windows.
